This policy explains how MOTvault ("we", "us") collects and uses personal data when you visit our website or enquire about our garage-management software. We are committed to protecting your privacy and handling your data in line with the UK GDPR and the Data Protection Act 2018.
1. What we collect
When you fill in our free-trial or demo enquiry form, we collect the details you give us:
- Your name
- Your garage / business name
- Your email address
- Your phone number (if provided)
- Any message you send us
We do not use advertising or tracking cookies on this website. We store one small setting in your browser (your light/dark theme choice), which is functional only and holds no personal data.
2. Why we use it, and our lawful basis

We will not send you unrelated marketing. You can ask us to stop contacting you at any time.
3. Who we share it with
We do not sell your data. We share it only with the service providers that host this site and store enquiries securely on our behalf (our cloud hosting and database providers, who act under contract and appropriate safeguards). We may disclose data if required by law.
4. How long we keep it
We keep enquiry details for as long as needed to follow up and, if you become a customer, for the life of your account plus a reasonable period afterwards for our legal and accounting obligations. If you don't become a customer, we delete enquiry details within 24 months.
5. Where it's stored
Your data is stored on secure cloud infrastructure. Where any data is processed outside the UK, we rely on appropriate safeguards (such as UK-approved transfer mechanisms).
6. Your rights
Under UK GDPR you have the right to access, correct, delete or restrict use of your personal data, to object to processing, and to data portability. To exercise any of these, email hello@motvault.com and we'll respond within one month.
If you're unhappy with how we handle your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.
7. Our customers' data (the software)
When a garage uses MOTvault, that garage controls its own customers' data and is the "data controller"; MOTvault acts as the "data processor", handling that data only on the garage's instructions under a separate data processing agreement. Each garage's data is kept separate from every other garage's.
8. Changes
We may update this policy from time to time. The "last updated" date above shows when it last changed.
